As WordCamp Ahmedabad is nearing we are in search of dedicated volunteers. This is a golden opportunity to give back to the WordPress community with your skills. A WordCamp is incomplete without its force of volunteers who has one vision in mind and that is helping the people to get the best out of the event. You require no special talent to be part of the volunteer. An open mind to help the community with lots of learnings, fun and also knowledge-sharing. We are always open for WordPress beginners and lovers too.

Importance

What is the importance of being a volunteer at WordCamp? What would you get if you become a volunteer? This is the natural question that arises in our conscious mind. Talking about the importance, you gain a lot of credibilities, happiness, and self-motivation that yes you can do it. Believe me, this satisfaction and experience is rare to get. You have people around you who are always ready to guide you and yes you never find people making fun of you for not knowing the process of doing the work. Wow! It’s something about taking pride of volunteering in such a strong community and you always see yourself growing. Isn’t it great?

The next big thing is achieving something from WordCamp after you become a volunteer. You start knowing the community people, gather information on how to do a particular task effectively, learn about time management, shaping up your skills and improve the presence of mind. You get to experience behind the scenes of the WordCamps.

Roles & Responsibilities

Below are all the detailed responsibilities explained department-wise for your convenience.

Pre-Event Setup

• Setting up stage, sound system if you technical person,
• Arrangements of sign-boards for the convenience of the attendees.
• Installments of the stalls, preparing swags and also understand the venue in a better way to avoid last-minute chaos.

Registration

• Helping the team to distribute ID cards and verify the person attending.
• Checking the names of the attendees with the lists.
• Reporting the team leader in case of the attendee’s name is missing.
• Arranging all ID Cards alphabetically to avoid any confusion.
• Arrangement of separate counters for sponsors, speakers, and attendees.

Venue Guidance

• Helping attendees with the directions to reach desired spot.
• Sort out venue confusions, if any for sponsors, speakers, and attendees.
• Help sponsors to guide them towards the stalls installed.
• Guiding speakers towards auditorium and other related tasks.

Swag Distribution

• Verifying the attendee and distributing swag per person.
• Keep track of the proper stock of the swags for all the attendees.
• Distributing T-Shirts to all attendees as per the size mentioned.

Photography

• If you are good at photography and have a DSLR camera you can help in capturing photos and videos from time to time during the event.
• A good sense of capturing candid moments.
• A good understanding of all camera functions to capture the moments.
• Quick in taking snapshots, videos at the auditorium, networking area, food area, etc.

Social Media

• Good at writing captions for every post.
• Having good analysis power for creating good engagement per post.
• Comfortable with Facebook, Twitter, Instagram, LinkedIn.
• Timely communicative with the team leaders to avoid any confusion or miss out important posts.
• Understanding of the use of hashtags wherever applicable.

Emcee/ Time Keeping

• One of the most crucial roles of keeping track of the time of each speaker.
• Good presence of mind over time and situation.
• Proper coordination with other team members to complete the sessions on time.

Sponsor Assistance

• Help sponsors for setup at their stalls.
• Understanding & responding fast their each and every need.
• Good communication skills are expected.
• Guiding them for reaching out at different spots.
• Helping them reach the venue on time with no further confusion.

Speaker Assistance

• As time is precious so are our beloved speakers, guide them to reach the auditorium for their sessions on time.
• Giving them an understanding of the time allotted to them.
• Guiding them on stage with their presentations and making it sure to avoid any technical issues during their presentations.
• Make them feel comfortable before their sessions.

Food & Snacks

• Help with the time to time supply of the food.
• Proper communication with the team leader and catering people.
• Guiding people with food coupons and other necessities.
• It is very important that the food court is kept clean and the food offerings start on time.

As you all know, WordCamp Ahmedabad is happening on 14th and 15th December 2019. We are glad to announce that Speakers application for WordCamp Ahmedabad 3.0 is now open.

This is an opportunity for you to showcase your skills and share your knowledge to educate your ecosystem.

How to apply?

You can apply your Speakers Application Form at the bottom. Our Speakers team will review it and will contact you for the same.

What makes the best topic for the speaker’s application at WordCamp Ahmedabad?

Before that, we need to understand the audience. Our audience will be consisting of Beginners, Company owners, CEOs, experienced developers, designers, freelancers, bloggers, entrepreneurs and professionals from the IT industry. We will try to keep the sessions which will interest the whole audience. Additionally, We invite people to share their inspiring stories and real-life experiences with the keen WordPress community.

Speakers selection will be based on your ability to inspire, challenge and support the success of attendee’s professional careers and lives. The topic presentation must consist of clear description and takeaways for the audience. (Refrain pitching products, companies, and services)

Speaker application outline

• Our objective is to cheer the first-time speaker and welcome experienced speaker as well. We believe your confidence and passion for the topic will engage the audience.
• Slides play a significant role in presentation make sure you create an impressive one.

Session format

• 20 minutes topic presentation and 10 minutes questions and answer session on the same.
• This time we have 2 days WordCamp Ahmedabad. Day-1 WordCamp day and Day-2 Contributor day. Speakers may apply for Day-1.
• Speakers need to submit their session, presentation & deliverables link details well in advance for the review purpose.
• Speakers are also volunteers. Everyone is treated equally at WordCamp, so speakers will receive the same treatment as others.
• Speakers are not paid to speak at WordCamp, nor their session is meant to promote their product or themselves. The aim is to share their knowledge, and that’s what we’re looking for.
• If you’re selling any WordPress-related products then they should be 100% GPL, in order to apply.
• We are going to record every session at WordCamp and they will be published online. By applying to speak, you agree that WordPress Foundation has the right and permission to use and publish such media — which may include my name, likeness, voice, city/state of residence, or photograph — for any purpose in any format, online (including, but not limited to, WordPress.tv and WordCamp.org) and/or offline, now and hereafter without further compensation, permission, or notification.

• Call for Speakers closes on 15th November 2019.
• If you’d like to propose multiple topics, please submit the form multiple times, once for each topic.
